10 tips for a successful conference
1. What is the purpose of the conference? The venue and
environment can be decisive. Feel free to ask us for help.
2. Be clear when stating your requirements. This will help us to
ensure that you have the right venue at the right price and with
the right activities, etc.
3. Book your conference well in advance!
4. Discuss your budget with us so that we are aware of the
conditions and can help you have a successful conference.
5. Look at what is included in the price, and don't compare apples
with pears if you have obtained several quotations. Price
differences may be due to free Internet, whether dinner is two or
three courses or the standard of the building.
6. The social aspect is important. It is during the evenings that
affinity and team spirit is built up, so make sure there is time
for socialising. Reinforce this by booking an activity.
7. Do not forget to include yourself and any outside speakers when
working out your numbers and booking hotel rooms.
8. Will you be sending out a registration letter to your delegates?
Think about including a registration deadline which expires BEFORE
the last cancellation date for the conference, so that you do not
have to pay a cancellation charge.
9. If you are booking for a large group, consider booking for a few
less rather than a few more. If everyone does attend, it almost
always works out in terms of rooms and events.
10. Having tables in a U-shape is not a good solution for more than
twenty-two people due to the large distances and because the
feeling of proximity is lost. For large groups, islands, rows or a
herringbone lay-out work better.
